When to call us.

We're not the supplier, we're the orchestrator. We don't do ERP implementations ourselves, don't build software and don't host anything. What we do is take charge when several partners have to deliver one result together and you don't have the time or expertise to steer it yourself.

A

We have three suppliers pointing at each other.

The ERP partner, custom developer and systems administrator have to deliver one integration together. Nobody feels they own the whole. We become your central point of contact and push the project through to delivery.

B

Our architecture has become too complex to keep track of.

LegacyOudere software die nog draait maar je vooruitgang in de weg begint te staan. systems over 10 years old that have to talk to new cloudSoftware en opslag die je via internet afneemt in plaats van op eigen servers. services. No single partner sees the whole. We create the overview and direct which supplier does what, in which order.

C

We have to choose between quotes that can't be compared.

Three proposals from three kinds of partners (package, custom, hybrid). Each speaks a different language. We put them side by side, weigh risk against cost, and advise. With no commission from anyone.

D

The project is running. But nobody has the wheel.

The biggest digitalisation project your company has ever undertaken. Several partners, several internal teams, no internal PM with the time or experience. We play that role, through to delivery and until you can do it yourselves.

02 · The roles

What we take on and what you keep doing.

No need to worry that we'll replace your team or push your suppliers aside. We fill exactly that one role that's usually missing: someone who makes sure it works.

What we take on

The things you don't have the time or appetite for, and shouldn't have to.

  • Coordination with suppliersOne point of contact for you. We call them, we keep them focused.
  • Guarding scopeEvery "change request" goes through us first. Nobody quietly adds anything.
  • Weekly reportingOne page with what worked, what didn't, and what needs to happen next week. You read it in 5 minutes.
  • Making the technical callsWhen suppliers can't agree, we help decide on the substance.
  • Change managementWithout people who want to come along, no system works. We write the communication, support key users, organise training and measure adoption: from kick-off to after go-live.

What you keep doing

The work only you can do. Except you no longer have to squeeze it in between other things.

  • Making choices about your businessWe advise, you decide. Always in that order.
  • Being visible at the critical momentsYou're the sponsor. Kick-off, go-live, tough choices: that's where you need to be, not us.
  • Keeping your business runningThat's the most important part. If IT puts the operation at risk, we stop the IT work.
  • Ultimately paying suppliers or letting them goLegally and commercially, you remain the boss.
03 · How it runs

From the first call to "we're gone".

You don't get a standard 15-page proposal, but this route: start small, then go further. You can decide at any point to carry on or stop, without losing face.

Week 0 · Free

Call first

30 minutes on the phone. You tell us where it pinches. We tell you honestly whether we're the right fit and what we think the next step is.

Weeks 1–2 · Fixed fee

A first look

Two weeks. We talk to the team and the suppliers, and read the documentation. No advice yet, but a thorough understanding of where the problem lies.

Months 1–X · Fixed price

Solve

We agree scope, pace and price together. We steer, you decide. You get a report every Friday and we do a check every month.

Handover

Hand over

We only leave once your people run it themselves. Including documentation that is correct and an honest evaluation.

04 · Three ways to start

Three ways to start.

Not everyone needs a programme straight away. Sometimes a short verdict is enough. Sometimes you first need to set the direction. And sometimes you just need someone to carry out the actions. You choose, or we choose together.

What that looks like in practice

Scattered suppliers brought under one overview.

A retailer with several hundred employees. Three suppliers pointing at each other, a migration that just wasn't making progress. We took over the coordination so the managing director could stay in charge of the business.

05 · Frequently asked questions

Answers to the questions you have right now.

Is your question not listed? Email us or call directly. You'll get an answer from a human within the day.

Another question? Call us for half an hour

Do you work at a fixed price or by the hour?

We work with a fixed day rate, not a fixed monthly price. Based on our experience, we estimate up front how many days the work will take, so you know where you stand. A second opinion is always a fixed package. If you want to add something to the scope, we first discuss what it costs, so no change requests turn up on the invoice 'just like that' afterwards.

Is your workload the same throughout the project?

No. The workload varies with the project phase, the challenges that come up along the way and what happens at the suppliers' end or yours. During start-up and around go-live it's more intense; in quiet phases, less. We plan that in as well as we can up front, and the weekly report always shows where we stand against the estimate. No surprises at the end of the month.

Do you replace our existing suppliers?

Usually not. We actually prefer to work with the suppliers who are already there. They know your systems. What we do is take over the coordination and help them finish the work. If a supplier really no longer fits, we'll say so honestly. But that's the exception rather than the rule.

Are you linked to a supplier, or to the supplier who referred you?

No, we're always independent. That's one of the things that makes us unique: we get no commissions, kickbacks or partner discounts from software vendors or integrators. We always work directly for the client and pursue only the client's objectives. If we recommend a supplier, it's because they're the best fit for your situation at that moment, not because there's something in it for us.

What if it doesn't click after 2 weeks of audit?

Then we simply stop. You've paid for the audit, you have the one-page report in hand, and you can carry on without us. No contract that rolls over automatically, no penalty. We'd rather work with clients who want to stay than with clients who have to.

Do you have experience in our sector?

Sector knowledge is rarely the stumbling block. We've worked in very different sectors, from industry, retail and construction to healthcare, telecoms, automotive, energy, insurance, HR, public services and finance. What makes a project succeed isn't whether we know your sector inside out, but whether we ask the right questions and get your people and suppliers aligned. We get up to speed in a new environment quickly, so if your sector isn't on the list, that's not a problem.

Can you start within the week?

Usually, yes. We always schedule a first call within 2 working days. A short audit can start the week after. For a full programme we usually need 2 to 3 weeks of preparation: sharpening the scope, drawing up contracts, introducing the team.

Are you employed or freelance?

The 2 partners (Jan Festjens and Walter Swaenepoel) are permanent members of Make IT So BV. Beyond that we have our growing permanent team, not anonymous LinkedIn profiles. You always know who's working on your project.

Call us for half an hour and we'll tell you honestly whether we're a fit.
